DESCRIPTION: The Attorney Registration Specialist maintains the database of all lawyers admitted to pract! ice law in the State of Minnesota in accordance with the Rules for Lawyers Registration; coordinates the issuance of annual registration notices to all lawyers on a quarterly basis, either by email or by mailing notices; answers phone inquiries and drafts responses to written requests from lawyers, courts and the public about lawyer license and lawyer registration matters; authorizes the issuance of certificates of good standing and certificates of registration; directs and inspects work of staff assisting with attorney registration processing duties; processes licensing fees for deposit.

RESPONSIBILITIES :
Reviews, verifies, and enters Lawyer Registration Statement information into Minnesota Attorney Registration System (MARS); processes annual fees and prepares deposits; identifies problems with MARS and/or Lawyer Registration Statements and contacts lawyers or ITD or IT vendor to assist in correcting problems or errors.
Answers phone inquiries and! drafts responses to written requests from lawyers, judges, co! urt personnel, and others related to the Lawyer Registration rules and practices, and status of lawyers’ licenses; explains operation of rules and gives basic rule interpretations; monitors and suggests updates to Lawyer Registration website; provides assistance to the public, lawyers, and judges concerning how to use MARS; trains staff on how to use MARS.
Updates, generates, and issues Lawyer Registration Statements on a quarterly basis; generates and mails second notices and past due notices; acts as liaison to Central Mail service and ensures the proper handling of document inserts and envelopes.
Maintains the database of all lawyers admitted to practice law in the State of Minnesota; maintains and adds to the scanned images of historical records of admission, resignation, and death.
Prints, issues, and mails attorney license cards; verifies lawyers’ good standing and issues Certificates of Good Standing and Certificates of Registration upon request.
! Administratively suspends from the active practice of law lawyers who are delinquent on payment of fees; coordinates with CLE office when putting lawyers on involuntary restricted status by court order as well as lifting that restriction by court order; assists in drafting court orders; notifies courts and other entities as well as distributes lists of attorneys not permitted to practice.
Drafts or edits mailings to lawyers and informational postings and alerts posted to the Lawyer Registration website.
Processes lawyer resignations and CLE change of status orders; works collaboratively with and provides back up support to the staff of the Board of Continuing Legal Education; makes sure that other workers are apprised of important information related to Lawyer Registration
Provides oversight to the work of temporary help required for the completion of the quarterly scanning processes; provides lead worker support to all BLE/CLE staff as they assist in Lawyer Reg! istration overflow work.
Develops and maintains effective working r! elationships with the staff of the BLE office, CLE office, and Office of Lawyer Professional Responsibility to ensure accuracy of lawyer license records and accuracy of actions taken by personnel in those offices that affect lawyer license status.
Plans and coordinates monthly admission ceremonies with BLE staff, ensuring the accuracy of those eligible for admission and ensuring accurate payment of fee amount; contacts the Supreme Court to ensure presence of a justice as well as an attorney to administer the Oath of Admission.
Maintains copies of Oaths of Admission and other hard files; oversees scanning of documents; verifies accuracy of information in computer system.
Ensures that supplies are ordered and equipment is in proper working order
Identifies software malfunctions and acts as liaison to IT vendor.
Complies with all Court rules and policies.
Other related duties as apparent or assigned.
High school diploma or equivalent required.
A! minimum of 2 years of office experience.
Associate’s degree in business, secretarial sciences, or a related field and considerable legal office experience preferred.
Advanced knowledge of Microsoft Windows, Word, Outlook, and Excel
Ability of communicate effectively orally and in writing, using proper grammar and spelling.
Ability to function well under the pressure of deadlines.
Ability to establish and maintain effective working relationships with co-workers.
Ability to review and analyze database and accounting problems and provide solutions.
Knowledge of professional telephone etiquette.
SALARY RANGE & BENEFITS : Current range is $15.85 â€" $23.80 per hour, depending upon qualifications. Excellent State of Minnesota benefits package. For benefit information visit www.doer.state.mn.us .
