Under minimal supervision, provides administrative, sales and customer service support to deliver efficient, effective and timely service to our clients. Prepares correspondence to clients and their attorneys, accountants and beneficiaries. Assists Trust Wealth Advisors/ Relationship Managers (RM) with cash management, financial planning and portfolio review activities. Prepares discretionary payment requests and identitifies and resolves problems and discrepancies arising in account administration. Prepares drafts of account related documents. Prepares and monitors close-out accounts. May accompany Trust RM to meetings with clients, attorneys, or CPAs. Essential Duties and Responsibilities: CLIENT EXPERIENCE SUPPORT: Research and respond to internal and/or external customer needs relating to account administration. As appropriate, initiate communication with PT customers, prospects and related parties by phone, written correspondence and/or personal contact. Assist in maintaining existing client relationships, perform client portfolio administration, and respond to client requests in a timely manner. ADMINISTRATION SUPPORT: Prepare discretionary payment requests for review by Trust RM. Draft initial and annual review (checking account set-up on system, document review vs. account set-up etc.) for review and completion by Trust RM. Process bills, distributions to beneficiaries, personal trust fee invoices, estimated tax payments, annual fiduciary tax payments, accounting system maintenance, as well as oversee the retrieval and reconciliation of client investment data from various custodians, and process the input of data for Personal Trust. Set up new personal trust accounts, complete checklists and assist in annual reviews as directed. Provide reports and prepare agendas for client meetings as well assist Trust RM in creating, reviewing, analyzing, and preparing financial plans for clients; includes performing case analysis tasks such as entering and examining financial planning data, reviewing and interpreting financial statements, preparing preliminary proposals. Setup and maintain clients in the contact management system and maintain the integrity of the data. COMPLIANCE AND RISK MANAGEMENT SUPPORT: Maintain control spreadsheets, policy and procedure manual, new account and closing account information and follow-up. Complete various compliance tasks to ensure proper monitoring and management of client cash flows. Assist in personal trust projects such as a possible tax vendor change or conversion. Assist in implementing changes in Anchor Trust policies and procedures. BUSINESS DEVELOPMENT SUPPORT: Assist in coordination of marketing programs, referral programs, staff education, seminars, luncheons and any other Personal Trust business development activities. Produce, assemble and assist in development of Power Point presentations. Order and assemble materials, folders and labels for employee benefit participant meetings. Manage the new account process â€" including completing new account applications, POAs, transfer forms, as well as managing the transfer process to completion and reconcile data upon transfer. OTHER: Anticipate the need for and perform general PT support duties, which may include scheduling/coordinating meetings, setting appointments, making travel arrangements, maintaining files, setting up reminders, answering phones, and word processing. RSVP on behalf of officers for professional association meetings and seminars, request payment checks. Back-up for required operational duties in absence of Institutional Trust Associate and Trust Operations Assistant. Other duties as assigned. Qualifications:Education and Experience Associate degree in business administration or related field or a minimum of four years of PT support experience is required. Bachelor degree in business/finance or related field is preferred. Experience working in a client services environment is required. Communication Skills Excellent spelling, grammar, attention to appearance of written correspondence is required. Ability to speak clearly and with attention to client service in all internal an external contacts. Mathematical and Analytical Skills Ability to perform mathematical calculations at college level. Must be able to analyze and correct data Other Skills/Abilities/Specifications Strong Microsoft Word, Excel and PowerPoint skills. Ability to multi-task, prioritize and meet deadlines. Ability to make decisions in a timely and confident manner. Ability to work at a fast pace with a high degree of accuracy. Ability to deliver excellent customer service.
