The Director of the Minnesota Board of Law Examiners, Continuing Legal Education, Legal Certification, and Lawyer Registration is seeking an executive administrative assistant to provide support to the Director and others, in cluding the drafting of memorandums and correspondence, and to provide front desk support, including providing public information, answering questions and providing assistance to applicants, attorneys, board members, and members of the public.

Work requires a detail-oriented individual with advanced computer skills, including troubleshooting equipment issues, installing software and hardware; strong typing skills; advanced experience with MS Office; familiarity with drafting text for websites and using social media; strong customer service skills; online research; and experience managing projects and compiling information. Successful candidate should possess strong organizational and written communication skills, as well as ability to set priorities, manage competing deadlines, and work well with others in a shared responsibility setting.

Example of Duties

Provides administrative support to the Director, and other professional sta ff as needed; handles confidential information on behalf of the Director.

Staffs the front desk and provides answers to questions from applicants, lawyers, and members of the public, including in person inquiries, phone calls, and emails.

Drafts and proofs letters, reports, records, and documents from notes, rough drafts, oral instructions, and established procedures; researches, gathers, verifies, and summarizes data; creates charts; handles confidential information; creates and formats reports and presentation materials; composes some correspondence and memoranda independently; uses custom software applications to update applicant and other files.

Acts as a resource for the efficient use of Microsoft Office products, especially WORD as well as other software packages.

Assists with the administration of the semi-annual Minnesota Bar Examination and Admission ceremonies.

Schedules appointments and meetings; periodically archives a nd culls files.

Opens mail and routes accordingly; reviews in person submissions for completeness; .

Tracks assignments and provides updates to Director; assists staff attorney in tracking and routing contracts.

Handles daily deposits; invoicing and reconciliation of financial documents.

Assists in the preparation of meeting materials.

Electronically files documents with the Court.

Typical Qualifications

Excellent word processing and computer skills.
Advanced knowledge and experience with EXCEL and OUTLOOK and other MS Office products.

Strong attention to detail.

Typing skills of 55+ WPM.

Ability to research and gather information from online sources and 3rd parties.

Ability to learn and use custom software applications.

Familiarity with ACCESS.

Excellent organizational skills.

Ability to draft clear, concise correspondence and reports using proper grammar and spelling.

Ability to work well with others in a setting of shared responsibility.

Skill in handling multiple competing tasks and priorities.

Ability to function well under the pressure of deadlines.

Successful candidate must perform well on a clerical exam and letter-drafting assignment.

Skill in dealing with the public.

High school diploma or equivalent.

BA/AA degree and 3 years of similar experience.

Ability to work independently with a minimum of supervision.

Supplemental Information

SALARY RANGE & BENEFITS: $19.82 â€" 29.76/hour. Starting salary depending upon qualifications.
