This is an unrepresented position and is being posted internally/externally simultaneously.

This position will assign, direct, supervise and coordinate the work of subordinate staff. Work involves the direct supervision of a moderate number of subordinates and serving as a supervisor in a Court Administrator’s office in a large size county. This position requires excellent communication, ability to analyze legal documents for content, interpret statutes and court rules, requires the ability to make sound, independent judgment and decisions, along with other knowledge, skills and abilities listed below.

Example of Duties:

  • Directly oversees the processing of all cases managed in the Civil/Probate Division of the Washington County District Court.
  • Conducts or a! ssists in conducting management studies to improve workflow op! erating methods and procedures. Prepares reports with analysis and recommendations; analyzes reports and statistics as assigned by the administrator or manager. • Directs workflow to ensure equitable distribution and that priority work is handled promptly and deadlines are met.
  • Develops, recommends and implements new policies and procedures; simplifies work processes; assists staff with legal questions and analysis as necessary.
  • Reviews and processes legal documents to ensure completeness and accuracy of the court records; reviews case statistical reports and staff support as it applies to dispositional updating.
  • Ability to manage, implement, and assess various projects assigned by manager or court administrator.
  • Implements new rules and legislation and provides appropriate orientation to staff members. Updates appropriate procedure and policy manuals and electronic sites.
  • Interprets statutes, rules and orders in response to pr! ocedural questions from attorneys, subordinates and the general public.
  • Oversees the management of cases by the division, to include supervision of the preparation of notices, court calendars, correspondence and warrants. • May serve as the appointed Probate Registrar.
  • Performs a wide variety of complex court clerical and supervisory clerical assignments; reviews and processes legal documents, ensures completeness and accuracy of court records; may be responsible for specialized case processing activity as directed by the manager; answers procedural questions for staff.
  • Communicates effectively with parties, court staff, law clerks, judges, justice partners, attorneys, and other stakeholders.
  • Daily contact with Judges and their support staff while supervising staff working in the courtroom and responding to requests for documents and other information.
  • Providing support at the customer service counter; assisting a high volume o! f parties by explaining processes and procedures; reviewing documents f! or completeness, accuracy and conformation to rules and statutes.
  • Maintains employee records and time sheets; actively involved in all aspects of personnel management for the division.
  • Other duties as assigned.
Typical Qualifications:
QUALIFICATIONS: Any combination of training and work experience which indicates possession of the knowledge, abilities and skills listed. An example of an acceptable qualification for this position is:

Graduation from an approved high school or vocational school with post-secondary education preferred.
Three to five year's work experience or equivalent combination of education and experience.
Six months of supervisory experience. Experience working in an electronic work environment.
Thorough knowledge of Civil and Probate law; court procedures and policies.
Working knowledge of Microsoft Word, Excel and SharePoint required.

  • Thorough knowledge of court pro! cedures and policies, legal documents, rules and statutes pertaining to the court or area of assignment.
  • Considerable knowledge of effective supervisory and management techniques.
  • Knowledge of electronic filing practices and efficiencies; and/or ability to adapt to the electronic filing and develop efficiencies in a collaborative team environment.
  • Ability to make work decisions in accordance with laws, regulations and departmental policies and procedures.
  • Ability to plan, assign and supervise the work of subordinate employees engaged in a variety of court activities.
  • Ability to express ideas concisely and clearly, both orally and in writing, as well as understand and follow oral and written instructions.
  • Knowledge of Microsoft Office software and a good understanding of computer operations.
  • Ability to work in a fast paced, high volume environment.
  • Ability to deal with sensitive matters and diverse clien! tele.
  • Ability to adapt to constant changes.
  • Ability t! o establish and maintain effective working relationships with others. • Ability to perform multiple tasks at once.
  • Ability to learn, adapt and utilize new technology.
  • Excellent computer skills.
  • Excellent decision making skills, communication and organizational skills.
Working conditions:
Work is performed in an office setting or at a public counter. Work involves contact with persons who may be confused, angry, upset or abusive.

Physical demands:
Work is essentially sedentary with occasional walking, standing, bending and carrying items up to 25 pounds; such as, papers and court files.

**Successful candidate will be required to pass a criminal background check prior to appointment.
