Nature of Work
This position provides confidential, executive-level assistance and is a communications liaison between the General Manager's office and areas outside RPU operations. In addition to the General Manager, this position also provides administrative support to all Directors and serves as the secretary to the Utility Board, in addition to clerking their meetings. Responsibilities also include directing calls, making travel and meeting arrangements, preparing reports, working with financial data and customer relations.
Starting salary $23.11 per hour, with advancement to $29.50.
DUTIES AND RESPONSIBILITIES:
The work below is repres! entative of the scope of work performed within this job classification. Individual job duties will vary based on work assignment.
- Provide administrative assistance to the General Manager.
Support the General Manager by conducting legislative and policy research, compiling and coordinating information, data analysis and recommendations.
Provide operations support to the General Manager as required. This may include handling phone calls and monitoring email during an absence.
Function as a communications liaison between the General Manager's office and other areas inside and outside RPU operations.
Provide excellent customer service by handling inquiries, complaints and requests for information from the public and/or other government entities.
Organize and maintain the filing sy! stem for General Manager and general administrative files and provide a written inventory. Maintain files in compliance with the Minnesota Records Retention Schedule.
- Prepare documents and correspondence for the General Manager and four Division Directors.
Compose correspondence as required. Review correspondence for correct spelling, punctuation, grammar and sentence structure.
Attend and take minutes during weekly staff meetings of the General Manager and weekly meetings of the Directors. Posts Directors' meetings minutes on a SharePoint site.
Maintain and develop content for RPU intranet sites.
- Serve as Secretary to the Utility Board.
Take minutes at ! Public Utility Board meetings. Distribute official minutes of meetings ! and ensures the safety and availability of all board-related documents.
Post agenda and meeting information on the RPU external website and on RPU's intranet.
Maintain and update the Board policy manual and Board files.
Prepare Requests for Council Action and communicates action taken by Council to appropriate RPU personnel, coordinates communication to/from City Attorney.
Compile data for the General Manager's and Utility Board's annual cost center budget, including document preparation, associated data entry.
Make recommendations on revisions to budget software program and communication of revisions to RPU management.
- Project Management and Special Assignments.
Create effective visual aids (tables, graphs, charts, etc.) which best support the presentation.
Coordinate presentation materials for all-employee meetings, monthly manag! ement meetings and Utility Board meetings.
Manage assigned projects.
Perform other duties as assigned or necessary.
- ESSENTIAL DUTIES
Education and Experience
Two year degree in business, accounting, administrative support or closely related field AND a minimum of three (3) years of experience providing executive administrative support in a large corporate setting; OR an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.

Knowledge of: grammar, spelling, punctuation and sentence structure; business software applications; modern office practices and procedures; data practices, open meeting laws and records retention.
Skill in: meeting deadlines in a fast-paced environment; exercising initiative, good judgment and sound decision ! making within the scope of assigned authority; the use of computers and! applicable software.
Ability to: manage multiple priorities; plan effectively and follow up to ensure successful results; operate various office equipment; develop and implement improvements in office procedures; work with a minimum of direction and supervision; handling confidential and sensitive information; exercise discretion in the referral of telephone calls and written information to top management; communicate with all levels of staff in the Utility under varying conditions, both individually and as a team member; work effectively with all levels of internal management and staff, as well as outside clients and vendors.
