Classification: Grade 7 (Local 580) FLSA Status: Non-Exempt Position Description: To coordinate co! mmunication among the Child Support Attorneys, the Child Support Officers and clients within the judicial system and to execute the office instructions, produce the legal instruments and organize the flow of work generated for the establishment and enforcement of Child Support orders and paternity determinations.

DUTIES:
1. Organize and prepare legal documents generated by Child Support Officers and Child Support Attorneys. 2. Schedule legal matters for Court and assure that documents are timely served for scheduled hearing dates. 3. Communicate with out-of-county and out-of-state Sheriff’s Departments and private process servers requesting their assistance in serving defendants outside of Itasca County. 4. Keep Child Support Officers and Child Support Attorneys apprised of any alternations to the calendar and provi! de them with a complete and accurate calendar. 5. Schedule app! ointments, contact clients and complete documents and photos relating to paternity blood testing. 6. Follow up on pending paternity cases to assure blood test results are received in a timely manner. 7. Contact blood test facility in those cases of delayed response to inquire on status of tests and problems. 8. Maintain records of all paternity cases to assure that cases are flowing smoothly through the paternity adjudication process. 9. Transcribe all dictation of Orders, correspondence, memoranda, pleadings and Stipulations prepared by Child Support Attorneys and Child Support Officers, including special projects. 10. Transcribe miscellaneous correspondence generated by Child Support Attorneys and Child Support Officers. 11. Create, store and retrieve client files of Child Support Attorneys and Child Support Officers. 12. Subpoena witnesses, schedule appointments for Child Support Attorneys and Child Support Officers. 13. Arrange for expert witness from Genetic Design in ! cases of paternity jury trials. 14. Train temporary back-up for Child Support Unit assistance when needed. 15. Assist the Child Support Attorneys and Child Support Officers with every day problem solving. 16. Maintain office equipment and order repairs. 17. Maintain smooth flow of office workload between the Child Support Attorneys and Child Support Officers. 18. Maintain computer files for word processing purposes. 19. Regular attendance on the job. 20. Perform other duties as delegated. QUALIFICATIONS:
Minimum Qualifications (Pass/Fail): High school graduate OR equivalent; legal secretary certification ( must attach certification ) OR two year’s work experience as a legal secretary or comparable work experience; successfully pass a 55 wpm typing exam ( via AssessTyping.com â€" link to typing exam provided in the Supplemental Questions when applying for the position. ) ; education ( must attach transcript ) and/or work experience with dictaphone/ transcription machine; education ( must attach transcript ) and/or work experience with legal terminology; education ( must attach transcript ) and/or work experience with computer and word processing; valid driver’s license and reliable means of transportation. Knowledge, Skills & Abilities: Knowledge of : legal processes. Skills : excellent written and oral communication skills; excellent skills with English grammar and spelling. Ability to : deal well with the public; handle pressure an! d high stress situations; assess workload and prioritize work; work well with others; willingness to follow rules and procedures and follow directives from supervisors. Preference for: work experience with Minnesota matters of Child Support/Family Law; education (must attach transcript) and/or work experience with PRISM State Program, Microsoft Word, Microsoft Access, GroupWise; legal secretary or comparable work experience (beyond the minimum requirement above).

WORK HOURS, LOCATION, CONDITIONS AND EXTENT OF SUPERVISION:
Work Hours: The normal hours of work shall be eight (8) hours per day and forty (40) hours per week, Monday - Friday 8:00 am - 4:30 pm, overtime as necessary and approved.
Work Location: Itasca County Health and Human Services Department, Itasca Resource Center, 1209 SE 2nd Ave, Grand Rapids, MN
