Provides office support to the department, typing/transcribing of reports and forms, filing, specialized data entry into Records Management System (RMS), copying, faxing, mail distribution and other miscellaneous duties. Ensures proper storage and chain of custody related to property that is being held at the police department. Processes and routes all casework related documents generated in the police department. Acts as liaison for the department with the City and County Attorneys. Provides receptionist duties.
Examples of Duties:
Clerical Provides transcription of police reports, statements, phone calls, etc. Types, edits, prepares, scans and files police reports in accordance with department guidelines. Processes in-custody casework and forwards paperwork appropriately. Assists officers with requests for information and/or clerical assistance. Attends meetings and prepares minutes as assigned. Accesses and enters information using various computer systems including CJIS/NCIC. Maintain daily bulletin of current runaways and motor vehicle theft/recoveries. Handle motor vehicle impound releases and maintain information on private property tows and repossessions. Provide investigative assistance to patrol officers and detectives by assisting with creation of photo lineups and researching court records as necessary. Courts Acts as liaison for the department with the City and County Attorneys and handles court report requests. Process subpoenas and maintain officer’s court calendars. Respond to record requests from courts and attorneys. Maintain court date assignment calendar. Disperse bail money to court and city finance departments as appropriate. Maintain current files on Orders for Protection and Trespass Orders.
Customer Service Responds to public inquiries by telephone or in person and provides information to citizens regarding police department policies, procedures, services and programs as well as department related city ordinances and state laws. Processes public requests for reports and prepare weekly reports as needed. Perform background checks on Permit to Purchase applicants and process permit accordingly. Property Room Receipts, catalogs, stores, and properly disposes all property that comes into the possession of the police department as found, recovered, confiscated, or held for evidence. Maintains and updates necessary paperwork and property databases. Attempts to determine legal ownership of found or abandoned property and returns to legal owners. Arranges and facilitates release of property to rightful owner. Organizes and handles all aspects of public sale of all unclaimed property and evidence. Handles the destruction of all contraband and narcotics. General Operates standard office equipment. Sorts and distributes department mail. Compiles Sex Offender Registration Information. Processes fingerprint cards, expungements, and suspense files. Inventories all printed forms keeping appropriately stocked and notifying police administration of needed orders. Assists with maintenance and equipment repair of squad equipment including MCD’s in-squad video systems and microphones. Produces reports as requested by administration. Completes special projects as assigned by the Support Services Manager. Other duties as assigned
Minimum Qualifications:
Must be able to type 60 words per minute. A high school diploma, GED or equivalent. Two years office experience. Must be CJIS (Criminal Justice Information System) Certified within six months of employment. Working knowledge of computer word processing software packages.
Supplemental Information:
Desirable Training and Experience Previous experience in law enforcement agency preferred. Previous transcription experience. Ability to speak, read or write any language other than English, including sign language.
