POSITION OVERVIEW Carlson is seeking a legal administrative assistant to provide professional administrative support to the Associate General Counsel, general department support to two attorneys and one paralegal, and assist with a wide variety of legal matters.
POSITION RESPONSIBILITIES To coordinate and implement administrative services which may include, but are not limited to:
- Maintaining calendaring, scheduling and preparing for meetings
- Drafting/typing/editing and distributing various legal documents and other communications such as correspondence and internal memos
- Organizing and maintaining electronic and hard-copy legal files and filing system
- Maintaining and updating contract tracking reports
- Handling invoice processing, follow-up, and reporting
- Assisting in preparation and organization of presentation materials and reporting
- Handling travel arrangements and preparing expense reports
- Keeping membership and continuing legal education information up to date
- Handling documentation of office procedures and assisting in identifying and implementing process improvements
- Completing other duties and special projects as assigned
POSITION QUALIFICATIONS
- Proficient computer skills (Word, Excel, PowerPoint, Outlook, SharePoint)
- Excellent organizational skills and ability to handle a variety of projects in a changing environment
- Ability to multi-task, work under pressure and meet deadlines with minimal supervision
- Strong sense of confidentiality and discretion
- Excellent written and verbal communication skills
- Proactive with good attention to detail
- Ability to use sound judgment in dealing with internal and external contacts, including ability to communicate priorities and balance competing demands
- Interacts well with employees across the organization and is able to build and maintain positive relationships
- Legal Secretarial degree/certification or bachelor’s degree preferred
- 5+ years office experience working in law firm or legal department required
