Legal Administrative Assistant

Location: Minneapolis, Minnesota

Description: Aronson & Associates PA is looking of Legal Administrative Assistant right now, this position will be presented in Minnesota. Aronson & Associates, P.A. is a full-service immigration law firm practicing exclusively in the field of immigration and nationality law. While we maintain capabilities for handling the full range of immigration-related legal issues, our central focus accounting for roughly 95% of our work is on employment-based immigration â€" i.e., the leveraging of employment positions into immigration benefits. Within this practice area of employment-based immigration, roughly 50% of our work is performed for universities, academic medical centers, and research institutions, and the balance for a wide and geographically diverse corporate clientele.

We seek a Legal Administrative Assistant to support three attorneys. Qualifications: communication skills - both oral & written, advanced computer skills including Microsoft Office products in a Windows environment (especially Word, Excel, and PowerPoint), transcription from both tapes and voice recognition, ability to initiate projects, ability to handle several projects at once, work efficiently & independently, and good time-management skills. Social Media experience for a business is a plus.

Responsibilities:

  • Maintenance of Client Files
Opens and closes client files as required. Files correspondence and other records accurately and in a timely fashion.

  • Correspondence
As requested, accurately and promptly types memos, correspondence, reports and other documents including new appointment letters with appropriate attachments. Prepares and sends outgoing mail.

  • Scheduling
Schedules appointments for attorneys. Arranges travel schedules and makes reservations.

  • Phone Support
Answers telephone promptly and courteously. Gives appropriate information to callers or routes call to the appropriate individual.

  • Administrative Team Support
Shares responsibilities with other Administrative Assistant for phone coverage, FedEx, and outgoing and incoming mail. Performs other tasks and works on projects as assigned by the office manager.

  • Office Maintenance
Helps keep reception, kitchen, and work areas in good order. Assists Office Manager with upkeep of supply lists and office machinery.

Previous legal experience helpful, but not necessary. One to three years administrative experience or training preferred. This is not a paralegal position.
